Privacy Policy

Last updated: August 6, 2026

TaxGuardian ("we", "us", "the app") is operated by NSwarm Inc. and provides automated subscription revenue verification, tax allocation, and monthly executive balance reporting. This Privacy Policy explains what information we collect, how we use it, and your rights. By using the app, you consent to the practices described here.

1. User Data

When you create an account, we collect your name and email address, which you provide during sign-up or invitation. Account administrators may also see your name, email, and role. This information is used to authenticate you, display your identity in the app, and route notifications and reports.

2. Sensitive User Data

TaxGuardian processes financial data, including subscription revenue, transaction amounts, sender emails, payment reference numbers, tax allocations, and monthly balance reports. This data is sensitive. We do not collect government-issued identification numbers, full payment card numbers, or banking credentials. Payment confirmations are entered or pasted by you (or parsed from emails you forward) and stored as transaction records associated with your account.

3. Device Data

We collect limited technical data such as browser type, device type, IP address, and usage logs needed to operate and secure the app. We do not access device sensors, contacts, location, or media libraries beyond files you explicitly upload.

4. Uploaded Files

You may upload images and videos — including photos captured on wearable devices — for analysis (for example, payment screenshots or receipts). Uploaded files are stored in our application storage and may be processed by AI models to extract financial information. Do not upload files containing data you do not want analyzed or stored. You can request deletion of uploaded files at any time.

5. Payments

If payments are enabled (for example, paid subscriptions or invoicing), they are processed by our payment provider (such as Stripe). Payment card data is handled directly by the provider under their security standards; we do not store full card numbers. We may retain transaction records, receipts, and billing identifiers for accounting and tax-allocation purposes as permitted by law.

6. Analytics

We may collect aggregated and anonymized analytics about app usage to improve performance and features. These metrics may include page views, feature usage counts, and error rates. We do not use analytics to profile individuals for advertising.

7. Cookies & Local Storage

The app uses cookies and local storage to maintain your session and remember preferences (such as your display name, preferred tax rate, and communication style). You can clear these at any time via your browser settings, which will sign you out.

8. Ads, Sponsored Content, Affiliate Links & Promotional Offers

This app may display ads, sponsored content, affiliate links, or promotional offers. If ads are enabled, advertising partners may process limited device, usage, or interaction data according to their own policies. Sponsored and affiliate content will be identified where required. We are not responsible for the data practices of third-party advertising or affiliate networks; review their policies directly.

9. Data Sharing

We share data only as necessary to operate the app: with our hosting and database providers, AI model providers (for uploaded-file analysis), email delivery services, and payment providers. We may disclose data when required by law or to protect rights, safety, or security. We do not sell your personal data.

10. Data Retention

We retain account and financial records for as long as your account is active and afterwards as needed for accounting, tax, and legal compliance (typically several years). Uploaded files are retained until you delete them or your account is closed, subject to legal retention requirements. You may request earlier deletion where legally permitted.

11. Security

We use industry-standard measures including encrypted transmission (HTTPS), access controls, and row-level security to protect your data. No method is fully secure, however, and we cannot guarantee absolute protection. We limit access to sensitive data to authorized administrators and automated systems acting on your behalf.

12. Your Rights

You have the right to access, correct, or delete your personal data; to object to certain processing; and to withdraw consent where applicable. Canadian residents may have additional rights under provincial privacy law (for example, PIPEDA and provincial statutes). To exercise these rights, contact your app administrator or NSwarm Inc. support.

13. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by an updated "Last updated" date. Continued use of the app after changes constitutes acceptance.

For privacy questions, contact your app administrator or NSwarm Inc.
